Information We Collect

When you use Trail Draw, we collect information you provide directly: your email address (for account creation and authentication), event data you create (routes, checkpoints, registration codes), and any content you submit (support tickets, feedback). We also automatically collect certain information when you use the platform: device information (browser type, operating system), usage data (pages visited, features used, time spent), and analytics data (via PostHog) including interaction events and funnel progression. We do not collect or store participant payment information — payments are handled directly between organizers and participants through Stripe.

How We Use Your Information

We use your information to: (1) provide and maintain the Trail Draw platform; (2) authenticate your account and secure your data; (3) process event operations including scoring, leaderboards, and results; (4) send essential communications (authentication codes, event completion notices, service updates); (5) improve the platform through usage analytics and error monitoring; (6) comply with legal obligations. We do not sell your personal information to third parties.

Analytics and Error Tracking

We use PostHog for product analytics and Sentry for error tracking. PostHog collects interaction events, feature usage patterns, and funnel progression data. Sentry collects error data including stack traces and device information. We configure both services to minimize personal data collection. PostHog is set to identified-only profiles, meaning we only associate analytics data with your account after you authenticate. You can opt out of analytics cookies via the cookie consent banner shown on your first visit.

Cookies

Trail Draw uses cookies and localStorage for essential functionality (authentication sessions, app preferences) and for analytics (PostHog tracking). Essential cookies are required for the platform to function. Analytics cookies help us understand how the platform is used so we can improve it. You can manage your cookie preferences via the consent banner shown on your first visit. You can also clear cookies and localStorage through your browser settings at any time.

Data Storage and Security

Your data is stored on secure servers using industry-standard encryption. Authentication is handled via secure, one-time passcodes sent to your email. We implement reasonable technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction. However, no method of electronic storage or transmission is 100% secure — we cannot guarantee absolute security.

Data Retention

We retain your account information and event data for as long as your account is active or as needed to provide the service. Completed event data (including results, leaderboards, and public statistics) may be retained indefinitely in anonymized or aggregated form. You may request deletion of your account and associated data at any time by contacting us. We will respond to deletion requests within 30 days.

Third-Party Services

Trail Draw integrates with third-party services to provide core functionality: Stripe (payment processing), PocketBase (backend data storage and authentication), PostHog (product analytics), Sentry (error monitoring), and MapLibre (map tiles for route visualization). Each of these services has its own privacy policy and data handling practices. We recommend reviewing their policies if you have specific concerns.

Your Rights

Depending on your location, you may have rights under applicable data protection laws (such as GDPR in the EU/UK or CCPA in California). These may include: the right to access your personal data, the right to correct inaccurate data, the right to delete your data, the right to restrict processing, the right to data portability, and the right to object to processing. Children's Privacy

Trail Draw is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately so we can delete it.

We may update this Privacy Policy from time to time. When we make material changes, we will notify you via email (to the address associated with your account) or through a notice on the platform. Your continued use of Trail Draw after changes become effective constitutes acceptance of the updated policy.
